This article explains how to manage spam, understand your sending limits, and resolve common email problems.

Spam Filtering with SpamAssassin

We protect your inbox using Apache SpamAssassin. You can configure how spam is handled from cPanel:

  • Log in to cPanel.
  • Go to EmailSpam Filters.
  • You will see three options:
    • Process New Emails and Mark them as Spam: Enabled by default. Suspicious emails are marked in their headers.
    • Move New Spam to a Separate Folder (Spam Box): Enabled. Spam goes into a folder named Spam so you can review it.
    • Automatically Delete New Spam: Disabled by default. We recommend keeping this off – otherwise, you might lose legitimate emails that were incorrectly flagged.

If you want to adjust the spam sensitivity (advanced users), you can change the Spam Threshold Score (default is 5). Lower values make filtering stricter; higher values make it looser.

To access your Spam Box, log into webmail. The Spam folder will appear on the left. You can move any legitimate messages to your Inbox to help train the filter.

Sending Limits

To maintain good email deliverability for everyone, each email account is limited to 300 emails per hour. If you need to send more (e.g., newsletters, marketing campaigns), please use a dedicated email marketing service like Mailchimp, Sendinblue, or similar.

If you exceed the limit, you will see an error when trying to send. The limit resets every hour.

Troubleshooting Common Email Issues

I can’t send emails, but I can receive: Check your SMTP settings (server mail.yourdomain.com, port 465 with SSL). Also ensure your email client is set to require authentication.

I can’t receive emails: Verify that your domain’s MX records point to mail.yourdomain.com. You can check this with an online DNS lookup tool. If they are incorrect, update them in cPanel’s Zone Editor.

Emails go to spam for recipients: Make sure you have an SPF record in your DNS (see article 2.2). Also consider setting up DKIM (contact us for help). Finally, avoid using spammy words or all‑caps in your subject lines.

Login failed in email client: Double‑check your password. If you forgot it, reset it from cPanel under Email AccountsChange Password.
